Privacy Policy

1. Who We Are

Better On Purpose (“we”, “us”) is a UK training provider. We are the controller of the personal information described in this policy. If you have any questions about it, or want to use any of your rights, contact us by email at hello@betterop.uk or by phone on 0151 222 5469.

2. The Information We Collect

  • When you send an enquiry or contact us: your name, work email, phone number, company, job title, the number of people to be trained, your preferred format and anything you write in your message.
  • When you ask for a free template or a course free trial: your first name, email address and, if you give it, your company, plus whether you’ve asked to receive our emails.
  • When you book or take training with us: the names and contact details of delegates, attendance, assessment results and certificates.
  • How you found us: the page you were on when you sent a form and, if you arrived from an advert or a campaign link, the campaign details in that link.
  • How you use the website: only if you agree to analytics cookies (see section 9), information such as the pages you visit and the device and browser you use.

We don’t ask for special category information (such as health details) through the website. Please don’t include it in a message.

3. How We Use It, and Our Lawful Basis

  • To reply to your enquiry and send you a quote. Lawful basis: our legitimate interest in responding to people who contact us, or steps you’ve asked us to take before entering into a contract.
  • To deliver training you’ve booked, issue certificates and keep training records. Lawful basis: performing our contract with you or your employer, and our legal obligations.
  • To send the template or trial you asked for. Lawful basis: our legitimate interest in providing what you requested.
  • To send you occasional guides, templates and offers by email, only if you tick the box to receive them, or if you’re a customer and we tell you about similar training (you can opt out at any time). Lawful basis: your consent, or for customers, our legitimate interest as allowed by the Privacy and Electronic Communications Regulations.
  • To understand which pages and campaigns bring enquiries and improve the website. Lawful basis: your consent to analytics and marketing cookies.
  • To keep our records and meet our legal and tax obligations. Lawful basis: legal obligation.

We never sell your personal information, and we don’t use it to make decisions about you by automated means.

4. Who We Share It With

We share personal information only with services that help us run the business, under contracts that require them to protect it and use it only on our instructions:

  • Our website host and form service (Netlify), which hosts this website and receives the forms you send.
  • Our email and contact management tools, which we use to receive, reply to and keep track of enquiries and customers, and to send emails you’ve agreed to.
  • Our e-learning partner (VideoTile Learning Ltd), which runs our online course platform. When you buy a course or start a free trial, you create an account on their platform, and their own privacy policy also applies.
  • Google, for website analytics and advert measurement, only if you agree to those cookies.
  • Awarding and accrediting bodies, such as IOSH or Highfield, when you take a course that leads to their certificate.
  • Professional advisers and authorities, such as our accountants, or where the law requires it.

5. International Transfers

Some of the services we use store or process information outside the UK. Where they do, we make sure appropriate safeguards are in place, such as the UK’s adequacy regulations or the UK International Data Transfer Agreement or Addendum.

6. How Long We Keep It

  • Enquiries that don’t lead to work: up to two years after our last contact with you.
  • Customer and training records: up to six years after the training or the end of our contract, for legal, tax and certificate purposes, unless an awarding body requires longer.
  • Template and trial requests: up to two years, unless you’ve asked to receive our emails.
  • Email list: until you unsubscribe. We then keep only enough to make sure we don’t email you again.

7. Keeping It Safe

We use reputable services with strong security, limit access to the people who need it, and protect our devices and accounts with passwords and up-to-date software. No system is completely secure, but we take reasonable steps to protect your information and will tell you and the Information Commissioner’s Office if a breach puts you at risk.

8. Your Rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct it, or to delete it;
  • ask us to restrict how we use it, or object to how we use it;
  • withdraw your consent at any time, for example by unsubscribing from our emails or changing your cookie settings;
  • ask us to transfer information you gave us to you or another organisation.

To use any of these rights, contact us using the details in section 1. We’ll reply within one month. If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

9. Cookies and Similar Technologies

We only use non-essential cookies if you agree to them in our cookie banner, and you can change your mind at any time using the “Cookie settings” link at the bottom of every page.

  • Essential (always on): a small file in your browser remembers your cookie choices for six months, and a cookie called bop_dl unlocks a free template for one day after you request it. These are needed for the site to work as you asked.
  • Analytics (off unless you agree): Google Analytics, loaded through Google Tag Manager, tells us which pages people visit and how they find us, so we can improve the site.
  • Marketing (off unless you agree): Google Ads and LinkedIn tags tell us whether our adverts lead to enquiries.

Our online courses are bought and taken on our e-learning partner’s platform, which has its own privacy policy and cookies.

10. Changes to This Policy

We’ll update this policy when the way we use personal information changes. The date at the top shows when it was last updated.
